Step-by-step guide to letting your property

Step 1 Accurate valuation

Step 2 Selecting an estate agent

When choosing a letting agent consider their opening hours, when they will be available to conduct viewings, their high street presence and what kind of marketing your property will receive. These are critical to obtaining the maximum rental value for your property.

You should also check if your agent will organise your government-required Energy Performance Certificate (EPC) on your behalf or if you need to arrange this yourself? You are responsible for making this document available to prospective and future tenants. DB Roberts can arrange this for you.

Step 3 Consider Property Management

Property Management can be the key to reaping maximum rental returns on your property. Many tenants insist on renting managed properties and are often prepared to pay a premium for this. Instructing DB Roberts to manage your property gives you peace of mind that both your property and tenant will be cared for 24/7.

Throughout the tenancy, when you appoint DB Roberts as managing agents, we take care of all compliance issues such as safety certificates and inspections, schedules of condition as well as collecting rents. Should repairs be required, we have a team of approved technicians, tradesman and contractors to ensure that they are dealt with promptly and effectively. And at the end of a tenancy, we take care of the final inspection, return of the tenancy deposit and, of course, installing another tenant, ensuring that the property is occupied as soon as possible.

Step 4 Presenting your property

First impressions count, making the presentation of your property critical to a successful let.

Consider addressing any DIY jobs you have been meaning to get done, add a fresh coat of paint where necessary.

DB Roberts' team of dedicated professional photographers will then take photographs, create 360° tours, produce floor plans and write comprehensive property descriptions, all in just one visit.

Step 5 Preparing your property for tenancy

Before you let your property for the first time you must obtain a professional and comprehensive inventory. This will set out the condition and contents of the property. DB Roberts will carry out a professional inventory on your behalf.

You are responsible for checking that the tenants have set up accounts with utility companies, telephone supplier, council tax and TV licensing.

Step 6 Marketing your property

To find your perfect tenant you need to give your property maximum exposure across a wide range of media.

When you instruct DB Roberts to let your property, it will be promoted across all media including Rightmove, Zoopla and our own high profile website, local press and, of course, to the constantly changing database of prospective tenants held on our IT systems.

Step 7 Accompanied viewings

Our longer opening hours are essential to maximise viewing opportunities for your property. DB Roberts own experienced accompanied viewers will be on hand to show people around your property and answer any questions that may arise.

As long as you have given us a set of keys there is no need for you to be present at viewings. We will complete viewings at times to suit any current tenants and provide you with feedback afterwards.

Our offices are open Monday to Saturday. In addition, our phone lines are seven days a week.

Step 8 Receiving an offer

As soon as an offer is received we will contact you to communicate full details of an offer along with any special conditions to help you decide whether or not to accept.

Step 9 Offer agreed

Once you accept an offer we will do the following, regardless of whether your property is managed:

  • Collect references from the tenants
  • Arrange signing of Tenancy Agreement
  • Collect moving-in payment (rent + deposit)

We can also, subject to a fee, get your property ready for move-in and:

  • Carry out check-in and inventory
  • Organise Gas Safety Inspection and Portable Appliance test
  • Arrange professional cleaning of your property

It is a legal requirement that the security deposit is registered with the government backed Tenancy Deposit Protection Scheme TDPS, details of which must be provided to the tenant. As managing agents, DB Roberts look after all these arrangements; we also prepare a Schedule of Condition of your property at the time the tenancy starts, supported by video imaging. This evidence is essential in resolving any issues regarding the condition in which the tenant leaves your property at the end of the tenancy and your entitlement to make deductions from the security deposit before it is returned to the tenant.

Step 10 Completion

Upon completion, keys will be released to the tenant on moving-in day.
